About the Position:
Are you organized, reliable, and ready to kick-start your career in a fast-paced healthcare environment? Mission Pediatrics is looking for an enthusiastic Office Assistant to support our Administrative Office team.
This is a great entry-level opportunity where you’ll learn the ins and outs of office operations while supporting a collaborative team—and grow into bigger responsibilities along the way.
What you will do:
Clerical & Office Operations:
- Answer and direct incoming phone calls, take messages, and route inquiries to the appropriate team member.
- Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and shipments.
- Operate and maintain office equipment including copiers, scanners, fax machines, and printers; coordinate service requests for equipment malfunctions.
- Maintain organized physical and electronic filing systems in accordance with established procedures.
- Monitor and manage office supply inventory; submit replenishment requests in accordance with the purchasing policy.
- Maintain a clean, organized, and professional administrative office environment.
Administrative Team Support:
- Provide direct clerical support to both Administrative Specialists and the Regional Director as assigned.
- Assist with data entry, document formatting, copying, and preparation of correspondence and materials.
- Support scheduling logistics for administrative meetings, including room setup, materials preparation, and calendar coordination.
- Assist in the preparation and distribution of company-wide communications as directed.
Reception & Visitor Support:
- Greet and assist visitors, vendors, and staff arriving at the administrative office in a professional and courteous manner.
- Notify appropriate team members of visitor arrivals and provide general directions or information as needed.
Operational Growth Responsibilities:
As the Office Assistant develops proficiency in core clerical functions, opportunities exist to take on expanded responsibilities including:
- Supporting administrative projects and special initiatives assigned by the Regional Director.
- Assisting in the coordination of company-wide events, staff communications, or cross-location logistics.
- Contributing to process improvement efforts within the administrative office under the guidance of the Specialist team.
Knowledge, Skills & Abilities:
- Strong attention to detail and accuracy in clerical tasks.
- Professional and courteous communication skills, both written and verbal.
- Ability to manage multiple tasks simultaneously in a busy office environment.
- Basic proficiency in Microsoft Office Suite (Word, Outlook, Excel).
- Reliable, punctual, and team-oriented with a positive and proactive attitude.
- Ability to handle confidential information with discretion.
Minimum Qualifications:
- High school diploma or equivalent required.
- Prior administrative, clerical, or office support experience preferred.
- Healthcare or medical office experience a plus but not required.
Working Conditions:
- Onsite position at the Riverside, Brockton Ave. Administrative Offices.
- Standard office environment; Monday through Friday, 40 hours per week.
- Occasional support at other clinic locations may be requested.
